What we collect when you contact us, what we do with it, and how to get it back or deleted. Written to be read, not to be survived.

If you use the form on our Get a price page: the number of VMs and hosts you run, your storage type, your VMware renewal date, your country, your company, your work email address, and anything you write in the optional box. If you email us instead, whatever you choose to put in the email. Our host records standard server logs, including IP addresses, for security and to keep the site running.
To answer your enquiry and send you a price — that is either steps taken at your request before entering a contract, or our legitimate interest in responding to someone who has asked us a question. To carry out and support work you engage us for — performance of a contract. To keep accounting records — a legal obligation. We do not use your details for marketing and we do not add you to a mailing list.
Formspree, which receives the form submission and forwards it to us. Google Workspace, which carries our email. Cloudflare, which hosts the site and handles DNS. If you join a call at our meeting room page, Whereby processes that session. Engineers we work with under contract see what they need to answer your enquiry or carry out work you engage us for, and are bound to the same terms we are. We do not sell your data and we do not share it with anyone else unless the law requires it.
Formspree and Google are based in the United States, so your enquiry is transferred outside the European Economic Area. Those transfers rely on the European Commission's standard contractual clauses, or on the EU-US Data Privacy Framework where the provider is certified under it.
This site sets no cookies. There is no analytics, no tracking, no advertising, and no third-party fonts — the typefaces are served from our own domain. That is why you have not been asked to accept anything. Our meeting room page embeds Whereby, which sets its own cookies, but only if you open that page, and it is not linked from anywhere on the site.
Enquiries that do not become work: 24 months, then deleted. Records of work we carried out: seven years from the end of the engagement, which is the period Estonian accounting law requires. Server logs: as long as our host retains them, which is a short rolling window.
You can ask for a copy of what we hold, ask us to correct it, ask us to delete it, ask us to restrict what we do with it, object to us holding it, or ask for it in a portable format. Email hello@enginebay.net and we will answer within one month. There is no charge.
If you think we have handled your data badly, tell us first and we will try to put it right. You can also complain to the Estonian Data Protection Inspectorate, the Andmekaitse Inspektsioon, at aki.ee. If you are in another EU country you can complain to your own national authority instead. You do not have to come to us first.
If we change how any of this works, we change this page and update the date at the top. We do not keep an archive of previous versions, so if the detail matters to you, save a copy.
